We are seeking an Installation Administrative Coordinator in Novi, MI.

Job Summary:
The Installation Administrative Coordinator is responsible for maintaining the day-to-day administrative functions for machine installations, following up with customers and internal teams, completing all documentation required, and assisting the installation team as needed by management.

This is an In-Office position!

Hours: Monday – Friday 8:00 am to 5:00 pm

Pay: $25.00 – $30.00/HR DOE

Position: Direct Hire, Full Time

Duties and Responsibilities:

  • Create and schedule follow-up meetings to discuss and wrap up any installations and ramp-ups with internal team and service team members as needed, as well as record meeting notes and/or reports
  • Use existing templates to create purchase orders for external contractors and send them to accounting and/or purchasing teams
  • Create and load quality reports into Microsoft TEAMS and follow up with field service technicians and any other field employees to complete as needed
  • Work with internal teams as needed about expense reports, invoices, and any other accounting-related documents
  • Ensure all external contractor travel arrangements are confirmed and follow up with management as needed
  • Ensure all external contractor work visa and customs support documentation are required with Human Resources Manager and management and follow up as needed to ensure completion
  • Create cost reports using existing templates for external contractors and internal teams as needed
  • Maintain communication with external customers regarding technician arrivals
  • Maintain and provide updates using Microsoft TEAMS regarding tracking information for all parts and shipments related to installation
  • Update and maintain TEAMS channels/job numbers for installations as needed, while also ensuring all personnel required are added

Requirements and Qualifications:

  • High School Diploma
  • Associate degree in Administration, Business, or a related field preferred
  • 2+ years of experience as an office coordinator or in an administrative capacity, preferably within a customer service or technical environment
  • High proficiency in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook, TEAMS)
  • Experience with Microsoft Access preferred
  • Highly organized; thorough and efficient; methodical and detailed worker
  • Excellent time management skills
  • Ability to meet deadlines and communicate deadlines with other team members
